1. Booking Confirmation

Booking Process:

All bookings with EuroTrav are subject to availability and confirmation. A booking is confirmed only when we issue a written confirmation and receive the required deposit payment. Prices quoted are valid for the specified dates and may be subject to change without notice until confirmed.

Bookings can be made online through our website, by phone, or through authorized travel agents. All bookings must be made at least 7 days before departure, subject to availability.

2. Pricing Policy

Price Structure:

All prices are quoted in Euros (€) and include VAT where applicable. Prices include transportation by comfortable coach, accommodation as specified, meals as indicated, and guided tours. Prices do not include personal expenses, optional excursions, or travel insurance.

Adult (18+ years): Full tour price
Child (3-17 years): 75% of adult price
Infant (0-2 years): Free (no seat provided)
Single Supplement: 25% additional charge

Prices are based on current exchange rates and fuel costs. EuroTrav reserves the right to adjust prices due to significant changes in these factors, with notice provided at least 30 days before departure.

1. Payment Terms

Payment Schedule:

A deposit of 30% of the total tour price is required to confirm your booking. The remaining balance must be paid no later than 30 days before departure. For bookings made within 30 days of departure, full payment is required immediately.

We accept payment by credit card, bank transfer, or cash at our office. All payments are processed securely, and receipts will be provided for all transactions.

2. Refund Policy

Refund Conditions:

Refunds are processed according to our cancellation policy. Processing time for refunds is typically 7-14 business days. Refunds will be issued to the original payment method used for the booking.

30+ days before departure: 90% refund
15-29 days before departure: 70% refund
8-14 days before departure: 50% refund
Less than 7 days: No refund

No refunds will be provided for unused portions of the tour, including missed departures, early returns, or unused accommodation and meals.

1. Changes by EuroTrav

Company Changes:

EuroTrav reserves the right to modify tour itineraries, accommodation, transportation, or other arrangements due to circumstances beyond our control, including but not limited to weather conditions, road closures, or operational requirements.

In the event of significant changes, we will notify you as soon as possible and offer alternative arrangements or a full refund if the changes are not acceptable.

2. Changes by Customer

Customer Modifications:

Changes to bookings must be requested in writing. Changes are subject to availability and may incur additional charges. Name changes are permitted up to 7 days before departure with a €25 administration fee.

Date changes: €50 per person (subject to availability)
Tour changes: €75 per person
Name changes: €25 per person
Last-minute changes (within 7 days): €100 per person

Changes requested within 7 days of departure may not be possible due to operational constraints and accommodation commitments.

1. Cancellation by Customer

Customer Cancellations:

Cancellations must be made in writing and will be effective from the date received by EuroTrav. Cancellation charges apply as follows, based on the total tour price:

30+ days before departure: 10% of total price
15-29 days before departure: 30% of total price
8-14 days before departure: 50% of total price
1-7 days before departure: 100% of total price

No refunds will be provided for no-shows or late arrivals at departure points.

2. Cancellation by EuroTrav

Company Cancellations:

EuroTrav reserves the right to cancel tours due to insufficient bookings, force majeure events, or other circumstances beyond our control. In such cases, we will provide a full refund or offer alternative arrangements.

Force majeure events include but are not limited to natural disasters, war, terrorism, government restrictions, or other events that make tour operation impossible or unsafe.

1. What's Included

Included Services:

All EuroTrav tours include the following services unless otherwise specified:

Comfortable air-conditioned coach transportation
Accommodation in 3-4 star hotels (twin/double rooms)
Daily breakfast and specified meals
Professional English-speaking tour guide
Entrance fees to included attractions
City orientation tours

2. What's Not Included

Excluded Services:

The following items are not included in tour prices:

International and domestic flights
Travel insurance
Personal expenses and gratuities
Optional excursions and activities
Meals not specified in the itinerary
Visa fees and travel documents

Optional excursions and activities can be booked in advance or during the tour, subject to availability and additional charges.

1. Tour Operation

Operational Details:

Tours operate with a minimum of 15 passengers and a maximum of 45 passengers. EuroTrav reserves the right to cancel tours that do not meet the minimum passenger requirement, with full refund provided.

Departure times and meeting points will be confirmed in your final travel documents. Passengers must arrive at least 15 minutes before departure time.

2. Tour Guide & Support

Guide Services:

All tours are accompanied by professional, English-speaking tour guides who are knowledgeable about the destinations and provide assistance throughout the journey.

Local expertise and cultural insights
Assistance with accommodation and meals
Coordination of activities and excursions

Tour guides are trained in first aid and emergency procedures. In case of medical emergencies, they will coordinate with local medical services and your travel insurance provider.

1. Health & Fitness Requirements

Health Considerations:

Participants should be in good health and able to walk moderate distances. Some tours involve walking tours and sightseeing that may not be suitable for individuals with mobility issues.

Passengers with special medical requirements must inform EuroTrav at the time of booking. While we strive to accommodate special needs, some limitations may apply.

2. Age Requirements

Age Restrictions:

Children under 18 must be accompanied by a parent or guardian. Some tours may have minimum age requirements for safety reasons.

Minimum age for most tours: 3 years
Children under 3: Free (no seat provided)
Unaccompanied minors: Not permitted
Senior travelers: Welcome with no upper age limit

Families with young children are welcome, but parents are responsible for their children's behavior and safety throughout the tour.

1. Travel Documents

Document Requirements:

All passengers must carry valid travel documents, including passports and visas where required. It is your responsibility to ensure all documents are valid for the duration of your tour and meet entry requirements for all countries visited.

Passports must be valid for at least 6 months beyond the return date of your tour. Non-EU citizens should check visa requirements for all countries on the itinerary.

2. Entry Requirements

Visa Information:

Entry requirements vary by nationality and destination. EU citizens can travel freely within the Schengen area. Non-EU citizens may require visas for certain destinations.

Schengen Visa: Required for non-EU citizens visiting multiple countries
Individual country visas: May be required for specific destinations
Visa processing time: 2-4 weeks recommended
Visa fees: Not included in tour price

EuroTrav can provide general information about visa requirements but cannot guarantee visa approval. We recommend consulting with the relevant embassies or consulates for the most current information.

1. Data Protection

EuroTrav is committed to protecting your personal information. We collect and process your data in accordance with GDPR and other applicable data protection laws.

Personal information collected includes names, contact details, passport information, dietary requirements, and special needs. This information is used solely for tour arrangements and emergency contact purposes.

2. Information Sharing

Data Usage:

Your personal information may be shared with:

Hotels and accommodation providers
Transportation companies
Tour guides and local service providers
Emergency services (if required)

We do not sell or rent your personal information to third parties. You have the right to access, correct, or delete your personal information by contacting us directly.

1. Liability & Insurance

Legal Protection:

EuroTrav maintains comprehensive liability insurance for all tours. However, we strongly recommend that all passengers purchase comprehensive travel insurance covering medical expenses, trip cancellation, and personal belongings.

EuroTrav's liability is limited to the tour price paid. We are not liable for personal injury, loss of belongings, or additional expenses incurred due to circumstances beyond our control.

2. Complaints & Disputes

Resolution Process:

If you have a complaint during your tour, please inform your tour guide immediately so we can address the issue promptly. For complaints after your tour, please contact us in writing within 30 days of your return.

Complaints during tour: Report to tour guide immediately
Post-tour complaints: Submit in writing within 30 days
Response time: We aim to respond within 14 days
Dispute resolution: German law applies

These terms and conditions are governed by German law. Any disputes will be resolved in the courts of Germany. For questions about these terms, please contact our customer service team.
